Position Details
The University External Relations Office is currently accepting applications for the role of Senior Business Analyst, External Relations (ER). This position reports to the Director, Philanthropy & Donor Relations, however will work dynamically to support the overall goals of the External Relations portfolio by providing administrative, strategy and operations support to the senior leadership team.
The Analyst will support unit business planning and decision-making and must possess highly developed organizational skills and the ability to anticipate needs, plan, organize, coordinate, and perform work with no or very little direction. Strong time management skills, the ability to set priorities and to manage and prioritize multiple tasks to deadline are a must.
The position has a high volume of work driven by constant deadlines. The Analyst has access to highly sensitive and confidential information, and interacts with key internal and external stakeholders. This position will also supervise the Database Information Specialist.
Summary of Key Responsibilities (job functions include but are not limited to):
- With the Director, the Business Analyst is responsible for ensuring all University’s policies and processes are followed, provides guidance on gift receipting, cash management processes, tax receipting and is responsible for campaign and financial reporting;
- Provides direction and supervision to the Database Information Specialist, oversees the processing of donations, sponsorships, and donor designations in accordance with philanthropy office and financial services procedures – including opening of new funds, processing of Gift Agreements, pledge forms, and Terms of Reference;
- Provides direction and training on document and file storage and management procedures for the office;
- Manages the Pledge and Donor Gift Acknowledgement processes for all team members;
- Ensures accurate and timely updates are made by all team members in BBRE and BBSM;
- Sound financial management of donor designations, requiring the establishment of suspense accounts and collaboration with financial services, faculty finance staff, student awards and financial aid and the philanthropy team to allocate money to correct accounts;
- Develops and manages coding records of engagement from team briefings and contact notes into the database in appropriate fields;
- Documents and updates departmental prospect management procedures, and monitor staff adherence to ensure consistent and accurate reporting;
- Develop processes and systems for prospect and pipeline management to store research, data, ratings, etc and ensure effective use;
- Extracting relevant information from contact reports to create, code and update records of engagement appropriately;
- Conducting preliminary research on identified prospects and donors including biographical and philanthropic interest and coding the information on the prospect record for use by External Relations staff;
- Maintaining up-to-date documentation on prospect and donor records, ensuring that it is comprehensive and current;
- Using database insights and data mining tools, proactively identifies and qualifies prospective donors capable of significant financial support using proven research methodologies and resources;
- Attends all Philanthropy team meetings and collaborate with Philanthropy staff on cultivation and solicitation strategies to maximize the addition of new prospects to the prospect pipeline;
- Creates briefing notes and presentations as required;
- Supports the External Relations team at large. Assist with onboarding of new employees, especially with respect to External Relations business processes and systems;
- Prepares regular reporting, analysis and insights on team performance and success for ER, Faculty and University leadership including the Board of Governors;
- Coordinates participation in industry benchmarking programs.
The University of Lethbridge is undertaking a job classification and compensation review for Administrative Professional Officer (APO) positions. As such, the salary range currently assigned for this position may be adjusted as a result of this project.
Position Qualifications
- University degree or related education preferred and a minimum of 2 years directly related experience, preferably in a fundraising or post-secondary educational setting;
- Certification in business or data analysis an asset;
- 3 to 5 years of progressive client and/or customer service experience in an organization preferred;
- Excellent computer skills including database/information management with particular experience using Raiser’s Edge, CRM tools and MS Office applications;
- Familiarity with the principal tools and techniques for development and moves management;
- Experience in higher level data functions including queries, exports, imports and mail merge;
- Strong support of gift development process through accurate and thorough gift documentation or equivalent an asset;
- Strong organizational and time-management skills, attention to detail and accuracy;
- Ability to multi-task, prioritize and meet deadlines;
- Superior interpersonal communication skills, both verbal and written. Strong business writing skills are required. Good listening and interpretive skills are required.
- Demonstrated professionalism, tact and maturity in handling highly sensitive and confidential information ethically and with discretion;
- Able to work well under pressure, in an environment with daily deadlines;
- Ability to work both independently and as part of a team and to work effectively in a large, complex, dynamic and sophisticated organization;
- Able to remain positive and confident under pressure;
- Able to build good relationships with internal and external stakeholders;
- Must have the ability to deal with frequent interruptions in a cooperative and professional manner;
- A high level of knowledge and understanding of University policy and procedures would be a definite asset;
- Must be open to learning and development, and be willing to accept new challenges and assignments;
- Understands and maintains confidentiality, demonstrating diplomacy and good judgment;
- Experience in a fund development office is an asset. Knowledge in development practices and the processes and functions of the units within, also the systems utilized for day to day business;
- Ability to manage and deliver assigned special projects on time;
- The successful candidate will be required to provide a satisfactory Criminal Record Check.
Starting Salary Range (at 1.0 FTE)
$65,153.16 – $81,963.08 annually
Full Salary Range (at 1.0 FTE)
$65,153.16 – $98,772.99 annually (APO – Grade 3)
